Bidding playground mulch wrong costs you money every time. Whether you are under-ordering material, ignoring compaction loss, or getting caught when prices shift between bid and delivery, the math is unforgiving. This guide walks through the complete estimating framework so you can price playground mulch jobs accurately, cover your logistics costs, and protect your margin from scope creep.

## Start With the Use Zone, Not the Play Structure Footprint

The use zone is what you are actually covering. ASTM F1292 and your jurisdiction's safety standards define use zone dimensions based on equipment height and type. Contractors who measure only the play structure footprint consistently under-order. Use zone extends beyond the structure on all sides, and on swing sets it can add 6 to 8 feet in every direction.

Pull the equipment manufacturer's spec sheet. Mark the full use zone perimeter. That is your coverage area.

## Calculate Cubic Yards Correctly

Once you have square footage, convert to cubic yards using the required safety depth from ASTM F1292 or the equipment's fall height spec. Common depths are 9 inches for equipment with fall heights up to 7 feet and 12 inches for equipment up to 10 feet.

The formula:

**Square footage x depth in feet / 27 = cubic yards**

For a 2,000 sq ft use zone at 9 inches depth: 2,000 x 0.75 / 27 = **55.6 cubic yards**

Do not stop here. That number is your finished spec, not your order quantity.

## Why You Need a Compaction Allowance

Engineered wood fiber settles. Installation compacts it. In the first season, EWF can lose 20 to 30 percent of its initial depth through normal settling and use. If you install exactly to spec, the site will be out of compliance before the owner calls for a warranty inspection.

Order 25 percent more than your spec calculation. On the 55.6 cubic yard example, that means ordering approximately **69.5 cubic yards**. Round up to 70. This is not padding, it is engineering. Include the compaction note in your bid document so the client understands why the delivered volume exceeds what the spec sheet says.

## How to Price Delivery Logistics

Material cost per cubic yard is only part of the number. Delivery method drives your logistics cost significantly, and that changes by site.

**Blower truck delivery** works well when you have open access and a clean drop zone. It is faster, reduces crew time, and places material precisely. Expect to pay $150 to $250 per hour for the truck, plus any mobilization fee. On a 70 cubic yard job, blower placement might take 2 to 3 hours.

**Dump delivery** is cheaper per load but requires a crew to spread and rake. On tight sites with fencing, narrow gates, or internal playground equipment already in place, spreading adds significant crew hours.

Ask these questions before you price it: What is the gate width? Is there a slope from the drop point to the use zone? Will existing equipment block the blower hose path? Is there a shared drive or parking lot the truck cannot block?

Get the answers before you write the number.

## A Worked Bid Example With Real Numbers

**Project:** Elementary school playground, existing structure, open site with vehicle access.

- Use zone: 2,400 sq ft
- Required depth: 9 inches (equipment falls to 7 ft)
- Base cubic yards: 2,400 x 0.75 / 27 = 66.7 yards
- Compaction allowance (25%): +16.7 yards
- **Total material order: 83.5 yards, round to 84**

**Material cost:** 84 yards x $42/yard = $3,528

**Delivery (blower truck):** 3 hours x $200/hr = $600 plus $150 mobilization = $750

**Crew time to supervise and finish grade:** 3 hours x 2 workers x $32/hr = $192

**Subtotal direct cost:** $4,470

**Markup (22%):** $983

**Bid price to client:** $5,453

Add a contingency line if material prices are volatile. A 5 to 8 percent materials escalation clause protects you without scaring the client.

## Common Underbid Mistakes Playground Contractors Make

**Ignoring use zone overlap.** When two play structures share a use zone, some contractors measure them separately and double-count the shared area. Others forget the overlap exists at all and leave coverage gaps. Map the use zones together, resolve the overlap on paper, and measure the combined polygon.

**No compaction allowance.** This one is the most common and the most expensive. You are held to the spec depth at final inspection. Order to spec and you will be buying a top-up delivery out of your own pocket.

**Underestimating site access.** A quote that assumes blower truck access on a site with a 36-inch gate is a problem waiting to happen. Wheelbarrow spreading a 70 cubic yard job adds 8 to 12 crew hours. Price the access you actually have.

**Flat per-yard pricing without reviewing the site.** Per-yard rates from a price sheet do not account for slope, distance from drop zone, or interior obstacles. Visit the site or get a complete photo set before you quote.

## How to Protect Your Margin When Prices Shift

Material prices on EWF move with lumber markets. A job you price in March can look different by June delivery. Two ways to handle it:

Add a materials escalation clause. If bulk EWF pricing increases more than 8 percent between bid acceptance and delivery, you reserve the right to adjust the materials line by the documented difference. State this clearly in the bid document.

Alternatively, get a supplier price lock in writing before you submit the bid. Lock the price for 60 or 90 days. If delivery falls outside that window, you invoice at the locked price and absorb or negotiate the rest. Know which approach you are taking before you sign anything.

## What to Include in Your Bid Document

Clear scope language prevents the phone calls that cost you margin. Your bid document should state:

- The exact use zone square footage and how it was measured
- The required depth per ASTM F1292 and the equipment fall height spec
- The ordered cubic yardage with a note that it includes compaction allowance
- The delivery method and site access requirements assumed
- What constitutes a change order: any client request to expand the coverage area, increase depth, or add secondary zones

If the client asks you to cover extra area after the fact, you have a signed scope to point to. Without it, you are negotiating against your own past number.

## FAQ

**What compaction factor should I use for engineered wood fiber?**
Plan for 20 to 30 percent. For most bids, 25 percent is the standard middle number. On high-use sites like elementary schools with 400 or more kids, go to 30 percent.

**Should I use blower truck or dump delivery for every playground mulch job?**
Not every site supports blower access. Measure the gate width, check for overhead lines or tree canopy that blocks the hose, and confirm the truck can exit the property safely. Dump delivery is fine for open sites where you have crew available to spread efficiently.

**How do I handle a job where the client wants to phase the depth, starting shallow and topping up later?**
Price both phases in the original bid. Document the initial depth, the planned top-up depth and timing, and what triggers the second phase. This prevents disputes when they call for the top-up and expect you to absorb cost increases.

**What if my use zone calculation puts me right on the edge of a load quantity?**
Round up. An extra fraction of a load is cheaper than a return delivery or a warranty callback. Always deliver to the higher quantity and document it on the invoice.
