## The Bid That Looked Good Until It Wasn't

You've done this before. You write the quote, land the job, do the work, and when you tally up the final numbers, the margin isn't what you expected. You didn't make a math error. You measured the wrong things.

Most contractors underbid playground mulch jobs. Here's how to stop.

## Know Every Cost Before You Write the Number

Playground mulch installation isn't a product sale. You're installing a safety surface that has to meet ASTM F1292 standards and CPSC guidelines. That context changes how you price the work.

Build your bid around actual costs, not rough memory:

- **Material cost:** Know your cost per cubic yard delivered to your yard, not the catalog price. Include inbound freight and any fuel surcharges.
- **Delivery to site:** Does the job need a blower truck? A conveyor belt? Can you dump and hand-rake, or does the layout require precision placement? Delivery method alone can shift your cost by 20 to 40 percent.
- **Labor:** Actual crew hours depend on site access, existing surfacing removal, curbing type, and how many people you're putting on it. Time similar jobs. Don't estimate from memory.
- **Equipment:** Renting a blower truck? That cost goes in the bid. Owning one? You're still burning fuel and maintenance. Account for it.
- **Disposal:** Pulling out old surfacing? That's a line item, not a courtesy.

Most contractors get material and labor roughly right. They miss delivery variables, equipment time, and disposal. That's where the margin disappears.

## Depth Determines Volume. Volume Is Your Real Cost.

This is the most expensive mistake in playground mulch bidding: quoting a square footage number without locking in the depth.

ASTM F1292 ties required surfacing depth to the critical fall height of the equipment. A 4-foot deck requires more depth than you'd guess. A 6-foot deck requires more than that. If you quote square footage without specifying depth, you've handed your client the ability to pick the interpretation that costs you money.

Bid by cubic yards:

- Get the equipment specs before you write anything. Specifically, the critical fall height rating.
- Calculate your volume: (square feet x depth in inches) / 324 = cubic yards
- Add 10 to 15 percent for settling. EWF compacts. Clients call when it looks thin at six months.
- Put the depth spec and volume in writing on the proposal. Every time.

When your bid is tied to a documented depth requirement, you're protected if equipment changes, if the inspector requires deeper coverage, or if the client adds another structure after the fact.

## Price for the Full Life of the Surface

A playground mulch job doesn't end at installation. Mulch compacts and migrates out of the play zone. It degrades over time depending on traffic, weather, and material type. Your client will need replenishment, and if you don't bring it up at bid time, your competitor will.

Show the client what maintaining the surface actually looks like:

- **Year 1:** Full install at specified depth
- **Year 2:** Top-off to restore compliance depth (typically 20 to 30 percent of original volume)
- **Year 3:** Depth inspection and top-off as needed

That's not a pitch. That's accurate information about what owning a compliant playground surface costs. Clients who understand the lifecycle sign a service agreement. Clients who don't end up reordering from whoever picks up the phone first, which could be you, but at a lower margin with no relationship built.

A service agreement at a fair rate beats a cold quote three years from now every time.

## Your Expertise Has a Price Tag

Most contractors skip this part entirely. You've spent years learning ASTM F1292 compliance, understanding the difference between engineered wood fiber and shredded wood chips, knowing how to read site access challenges, crew a blower truck efficiently, and document a job for a school district's insurance file.

That knowledge costs money to acquire. It belongs in your rate.

Don't add a separate line item for expertise. Just make sure your service rate reflects what it costs to do the job right. Contractors who price their knowledge accurately attract clients who want the job done right. Contractors who discount their knowledge attract clients shopping for the cheapest number, and those clients aren't loyal.

## Write Bids That Protect You on Paper

Every proposal you send is a contract in waiting. A vague bid is a liability.

Your proposal should spell out:

- **Scope:** Material type, cubic yards, depth specification, and critical fall height rating
- **Site access assumptions:** Gate width, vehicle clearance, surface conditions
- **Exclusions:** What isn't included (old material removal, curb repairs, drainage work)
- **Warranty:** What you guarantee and for how long
- **Payment terms:** Deposit amount, payment schedule, and what triggers the final payment

A clear scope protects you from scope creep. It also protects your client from assuming they bought something they didn't. That's not legal boilerplate. That's professional work, and clients remember the contractors who operate that way.

## The Bottom Line

Leaving money on the table doesn't happen because you're bad at math. It happens because you're pricing a product when you should be pricing a service, quoting area when you should be quoting volume, and not charging for the expertise that makes your installation last.

Fix the measurement, fix the scope, and put the real costs in the number. Your margin will follow.
